Office and Country Context
The World Bank office in Port Moresby supports operations in Papua New Guinea (PNG), Solomon Islands, and Vanuatu and is led by a Divisional Director. The Port Moresby office currently consists of approximately 47 staff members working across multiple sectors.
In Papua New Guinea, the World Bank manages a broad and impactful portfolio of active projects. These include investments in road maintenance and rehabilitation, agriculture, urban youth employment and skills development, energy, nutrition, health, and education. In addition to project financing, the World Bank provides analytical and advisory services to the Government of PNG in areas such as health systems, education reform, child nutrition, agri-food system transformation, and public finance reviews.
Position Overview
The World Bank Group is seeking a dynamic, self-motivated, and highly organized Team Assistant to join its Port Moresby office. The selected candidate will provide comprehensive administrative, logistical, and operational support to World Bank teams and country management. This role is essential to ensuring the efficient delivery of high-quality analytical services and the successful implementation of World Bank–supported projects in Papua New Guinea.
The position requires strong coordination skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, multicultural environment.

Key Responsibilities
Administrative and Operational Support
- Provide administrative support for the preparation and implementation of World Bank activities in accordance with institutional policies and procedures.
- Support visiting mission teams by scheduling meetings and appointments with internal and external stakeholders.
- Assist with procurement processes, payment requests, and contract management in line with World Bank guidelines.
- Make travel arrangements for staff and mission teams, including visa processing, flights, accommodation, and local transportation, and review statements of expenses.
- Incorporate editorial revisions into project documents and support document circulation and approval processes.
- Draft routine correspondence, prepare meeting minutes, and assist with official communications.
- Ensure required clearances are obtained and submitted to the Division Director for timely approval and signature.
- Maintain accurate and confidential office records and filing systems in compliance with World Bank standards.
Coordination, Logistics, and Time Management
- Organize meetings, workshops, and events, including logistics coordination with vendors and participants.
- Proactively manage conflicting priorities and ensure efficient use of time and resources.
- Liaise with service providers, vendors, and internal teams to ensure logistical arrangements meet World Bank standards.
- Prepare and process travel authorizations, expense claims, and related documentation.
- Monitor team budgets, track project milestones, and support reporting requirements.
- Collect and input project data into central databases, including processing project status reports.
Information Management and Reporting
- Maintain up-to-date electronic and paper filing systems for project documents, correspondence, and reports.
- Retrieve and compile data from various sources for use by the Division Director and Country Management Unit.
- Maintain sector-relevant contact databases and standard project distribution lists.
- Ensure timely dissemination of internal and external correspondence and proper electronic filing.
Selection Criteria
- High school diploma with a minimum of five years of relevant work experience, or an equivalent combination of education and experience.
- Prior experience working with bilateral or multilateral donor organizations in Papua New Guinea is highly desirable.
- Proficiency in Microsoft Word, Excel, and PowerPoint at an intermediate level; familiarity with AI tools is an advantage.
- Strong organizational and time management skills, with the ability to deliver high-quality work under pressure.
- Demonstrated initiative, problem-solving ability, and resourcefulness.
- Excellent interpersonal skills and the ability to work effectively in a multicultural team environment.
- Strong written communication skills, including the ability to draft correspondence and edit documents using proper grammar and style.
- Willingness and ability to adapt to changing priorities and continuously learn new systems and processes.
